Privacy policy

About this policy

AT Business Advisors Pty Ltd (ABN 84 676 726 453) is a chartered accounting practice at Suite 103, 2-8 Brookhollow Ave, Norwest NSW 2153. In this policy, "we", "us" and "our" mean AT Business Advisors.

This policy explains how we handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. It applies to our clients, people who contact us or visit our website, job applicants, and other people whose information we receive in the course of our work.

We provide financial services as an authorised representative of Adams Triglone Pty Limited (AFSL 487370). When we act for Adams Triglone, it may also hold your information under its own privacy policy.

The personal information we collect

We collect only what we need to provide our services and meet our legal obligations. Depending on the work we do for you, this may include:

  • Contact details: name, address, email and phone numbers.

  • Identity information: date of birth, and copies or details of identity documents such as a driver licence or passport, which we must collect and verify under anti-money laundering law.

  • Tax and government identifiers: tax file numbers, Australian Business Numbers and director identification numbers.

  • Financial information: income, expenses, assets, liabilities, bank and investment statements, superannuation details and business records.

  • Family and business information: details of spouses, dependants, beneficiaries, trustees, directors, shareholders and related entities, where relevant to your affairs.

  • Sensitive information: we generally do not ask for it. Where it is needed, for example health information for a tax deduction or an insurance matter, we collect it only with your consent or where the law allows.

  • Website and enquiry information: what you tell us through our contact forms, bookings and payments, and basic information about how our website is used.

If you do not give us the information we need, we may not be able to act for you, or we may be required by law to stop acting.

How we collect it

We collect most information directly from you: in meetings, by phone and email, through our secure client portal, and through forms on our website.

With your authority, we also collect information from others, including the Australian Taxation Office, ASIC, your bank, superannuation fund or financial institution, your previous accountant, and your other advisers. We may also use public sources such as the ABN Lookup and ASIC registers.

If you give us information about another person, such as a family member or business partner, please make sure they know you have done so and where to find this policy.

Why we collect and use it

We use your personal information to:

  • provide accounting, tax, business advisory, bookkeeping and SMSF services, and prepare and lodge returns and other documents on your behalf

  • provide financial services, such as SMSF advice, under the Adams Triglone licence

  • verify your identity (we use FeeSynergy to do this electronically), assess money laundering and terrorism financing risk, monitor transactions and report to AUSTRAC as the Anti-Money Laundering and Counter-Terrorism Financing Act 2006 requires

  • meet our obligations as a registered tax agent and as members of professional bodies, including quality reviews

  • manage our relationship with you, including billing, payments, appointments and responding to enquiries

  • send you newsletters and updates about tax and business matters, unless you tell us you do not want them

  • assess job applications.

We use and disclose your information only for these purposes, for related purposes you would reasonably expect, with your consent, or where the law requires or allows it. We do not sell personal information.

You can opt out of newsletters and marketing at any time by using the unsubscribe link or contacting us. Under AML/CTF law, we are not allowed to tell you about some reports we make to AUSTRAC.

Who we share it with

We share personal information only as needed for the purposes above. This may include:

  • government bodies and regulators, including the ATO, ASIC, AUSTRAC, the Tax Practitioners Board and state revenue offices

  • Adams Triglone Pty Limited, our AFSL licensee, and its compliance advisers

  • auditors, including SMSF auditors, and your other advisers, such as lawyers, financial advisers and mortgage brokers, with your authority

  • banks, superannuation funds, insurers and other product providers you deal with

  • our professional bodies and insurers, for quality reviews, claims or complaints

  • service providers who help us run the practice, including FYI, XPM, Xero, Class Super, NowInfinity, FeeSynergy, Microsoft 365 and Squarespace, and CCH iFirm, which holds some older client records

  • anyone else you authorise, or where the law requires or allows it.

We expect our service providers to protect your information and use it only to provide services to us.

Overseas: we store client files and records on servers in Australia. A small amount of information may be processed overseas:

  • New Zealand: Xero and XPM store data in Australia and New Zealand

  • United States and other countries: our website host, Squarespace, and some AI tools may process limited information overseas.

Where information is disclosed overseas, we take reasonable steps to make sure the recipient protects it in line with the Australian Privacy Principles.

We do not currently outsource any of our work, in Australia or offshore. If that changes, we will tell you before any of your information is shared and update this policy.

AI tools: we use Microsoft 365 Copilot and ChatGPT under business plans that do not use client data to train their models. Staff may also use Claude for general research and drafting, but it is not approved for client information. We never enter tax file numbers or other sensitive identifiers into an AI tool, and all AI-assisted work is reviewed by a qualified person. Section 22A of our Standard Terms and Conditions has the details.

Tax file numbers

We collect tax file numbers only for purposes the law allows, such as preparing and lodging your tax returns and dealing with the ATO for you. We handle them in line with the Privacy (Tax File Number) Rule 2015. We do not use a tax file number as an identifier for any other purpose.

Please do not send your tax file number or bank details by ordinary email. Use our secure client portal or call us instead.

Storage, security and retention

We hold information electronically in secure cloud systems and, occasionally, on paper at our office. We protect it with access controls, multi-factor authentication, staff confidentiality obligations and secure disposal.

We keep records for as long as we need them and the law requires. This is generally at least 7 years. Identity records we collect under AML/CTF law are kept for 7 years after our relationship with you ends. When we no longer need information, we securely destroy it or de-identify it.

If we have a data breach likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

Our website

Our website is hosted by Squarespace. It uses cookies and similar technology to keep the site working and to give us anonymous statistics about how it is used. You can block cookies in your browser settings, although some features may not work.

When you use our contact form, we receive the details you enter. Online appointments are booked through Microsoft Bookings, and invoice payments are processed by FeeSynergy. Those providers handle the information you give them under their own privacy policies. We never see or store your full card details.

Our website links to other sites, such as the ATO and Tax Practitioners Board. We are not responsible for how those sites handle your information.

Access, correction and complaints

You can ask to see the personal information we hold about you, or ask us to correct it. Contact our Privacy Officer using the details below. We will respond within 30 days. If we refuse a request, for example because the law prevents us from disclosing a report to AUSTRAC, we will tell you why in writing.

If you have a concern about how we have handled your information, please contact our Privacy Officer first. We will acknowledge your complaint and aim to resolve it within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
